ElysionOne provides business software tools. We do not store full customer card numbers. Online payments and subscriptions are handled by Stripe, and Stripe may collect payment, identity, tax, banking, and verification information under its own policies and account requirements.
1. Information we collect
We collect information you provide directly and information needed to operate ElysionOne. This may include your name, email address, login information, business name, company details, logo or branding files, business profile settings, tax settings, default document terms, PDF style preference, app theme preference, subscription status, plan type, and other account settings.
We may also collect and store information you enter into the app, including client records, contact details, project details, estimates, invoices, line items, notes, terms, approval records, payment status, reports, job cost information, and related document data.
2. Client, estimate, invoice, and document data
ElysionOne stores business records so the app can create, display, send, approve, print, and manage estimates, invoices, public document links, customer approval pages, payment links, and PDF views. This may include client names, emails, phone numbers, addresses, company names, project descriptions, amounts, taxes, balances, signatures, approval timestamps, public document tokens, and document status history.
You are responsible for the client and business information you enter into ElysionOne and for making sure you have permission to use that information in connection with your business.
3. GC Operations and subcontractor workflow data
If you use GC Operations, ElysionOne may store projects, job sites, lots or units, Work Orders, subcontractor connections, invitations, assigned work, schedules, work invoice records, corrections, payment status, issue reports, updates, and related workflow history.
Invited subcontractors may use ElysionOne to view assigned jobs, send work invoices, report issues, mark work complete, and review their schedule. Their activity may be stored and connected to the GC account, project, lot, Work Order, and invoice record involved.
4. Job-linked communication and issue reports
ElysionOne may store messages, issue reports, status updates, and communication history connected to a specific estimate, invoice, Work Order, project, or lot. This keeps job communication attached to the right record instead of mixing it into one general chat.
Communication records may include message text, sender type, timestamps, related job or document IDs, notification records, and status changes needed to keep the workflow clear for the people involved.
5. How we use information
We use information to operate, protect, and improve ElysionOne, including to:
- Create and manage your account.
- Save your clients, estimates, invoices, and settings.
- Generate document views, public links, and PDFs.
- Send estimate and invoice emails when you request it.
- Support WhatsApp sharing by preparing document links.
- Process account settings, branding, document defaults, and PDF style preferences.
- Provide GC Operations tools, Work Orders, subcontractor assignments, schedules, work invoices, corrections, reports, and notifications.
- Provide reports, business summaries, and payment status information.
- Help with support requests, security, troubleshooting, and fraud prevention.
- Maintain the reliability, speed, and security of the app.
6. Online payments and Stripe
ElysionOne uses Stripe for subscriptions, online payment setup, and invoice payment workflows. If you start a paid plan, trial, or subscription, Stripe may collect payment method and billing information. If you enable online invoice payments, Stripe may ask you to complete onboarding and provide identity, business, tax, banking, and verification information.
When a client pays an invoice through a Stripe Checkout link, payment details are processed by Stripe. ElysionOne does not store full card numbers. ElysionOne may receive and store limited payment-related information, such as invoice payment status, subscription status, trial status, transaction references, connected account status, checkout status, and webhook event information needed to update the app.
7. Email, WhatsApp, and notifications
ElysionOne may use email delivery services, including Resend, to send account, login, estimate, invoice, support, or transactional emails. Email messages may include names, email addresses, document details, public links, job details, and other information needed to deliver the message you request.
When you use WhatsApp sharing, ElysionOne prepares a message or link for you to send through WhatsApp. WhatsApp is a separate third-party service, and your use of it is subject to WhatsApp’s own terms and privacy practices.
ElysionOne may also create in-app notifications for important events such as approvals, payments, new Work Orders, completed work, issue reports, invoice updates, and corrections.
8. Service providers and third parties
We may share information with trusted service providers only as needed to operate, secure, and support ElysionOne. These may include hosting, authentication, database, storage, payment, email, analytics, monitoring, and infrastructure providers such as Supabase, Stripe, Resend, Vercel, and similar operational tools.
These providers may process information under their own terms, privacy policies, security practices, and legal obligations. We do not sell your personal information to advertisers or data brokers.
9. Cookies, local storage, and cached data
ElysionOne may use cookies, browser storage, local storage, cache data, and similar technologies to keep you signed in, remember preferences, improve loading speed, support theme settings, and make the app more reliable. Cached data may include limited app information stored on your device so pages can load faster.
You can control cookies and local storage through your browser settings, but disabling them may affect login, saved preferences, page speed, or app functionality.
10. Data retention and account closure
We retain information for as long as needed to provide the app, maintain business records, support security, prevent fraud, resolve disputes, comply with legal obligations, maintain backups, and operate ElysionOne.
If you close your account, your account access may be disabled, but some records may be retained where needed for legal, tax, security, dispute, backup, fraud prevention, payment, audit, or operational purposes. This may include estimates, invoices, approvals, payment records, Work Orders, work invoices, corrections, job-linked communication, issue reports, and related workflow history.
11. Security
We use reasonable technical, organizational, and operational safeguards designed to protect information. However, no internet service, database, payment system, email system, or storage system can be guaranteed to be completely secure.
You are responsible for keeping your login credentials secure, using accurate account information, and notifying us if you believe your account has been accessed without authorization.
12. Your choices and rights
Depending on where you live, you may have rights to access, correct, update, export, delete, or restrict certain personal information. You can update many business profile and account settings directly in ElysionOne.

13. Children’s privacy
ElysionOne is intended for business use and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can review the issue.
14. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in ElysionOne, third-party services, legal requirements, or business operations. The updated version will be posted on this page with a revised date. Continued use of ElysionOne after an update means you accept the updated policy.
